I've posted this a few times as a reponse on other threads but never got an answer, so I'm posting it here as a new discussion thread:
I know there are templates that you can save for responding to an inquiry for both booked and available dates, but does anyone know how to change and save the message that appears right before you send them the invoice (bill), the one that says "Dear ____" and instructs them how to make a secure payment? I have to customize it each time, and even then it does not change the subsequent bills' message, just the first.
Also, I need to know how to customize and save the wording of the future bills or payment reminders that go out to renters. I need them to either show the complete breakdown of the payments (not just the total amount of that bill) or else be able to customize the wording to let them know they can send a check instead of paying by credit card when they receive that bill. We would prefer both options but we need at least one. Anyone have any insight or suggestions here? Appreciate it, thanks.
It does show the complete breakdown of the bill being requested when you send them a "quote" through the VRBO system. Then if they say yes, they want to book the property then you just push the book it button and it sends them the request to book. Since you do everything on the phone you probably are not using all the functions for the billing part of it.

Oh yes, I know all that Wendy; we've been using RM a while now. You may not have read my queston carefully, but it said "customize and save the wording of the future bills or payment reminders", not the quote at time of booking. I need to control either the messsage attached and/or show the initial breakdown on the future payment reminders.
Also, we always create the reservation first, then "Book It" and enter all the details and itemized breakdown and payment schedule and customize the message (which I guess we have to manually alter each time since we cannot save it as a template as with inquiry responses). You're forgetting that you often have to create the reservation before using the "Book It" option because many inquiries are from FlipKey or non-HomeAway resources. Besides, we handle all inquiries from our outside e-mail address and only use HomeAway/VRBO when time to book.
Also, you are mistaken on one point you made: it only shows the breakdown, etc. when you click "Book It". You can't send a breakdown automatically before using the "Book It" button. Or at least if you can, I am not aware and don't know how.
I am not sure exactly what "breakdown"...but that's okay....I am sure that I am just missing something. As for the other "entities" booking...I have a link on those non-VRBO to my VRBO site for them to book directly through VRBO. I guess I am more of a find the easiest, most streamlined way to get the business in and out without a lot of back and forth between different websites. Since VRBO gives me more bookings than the othes, that is the one that I streamline everything through. Nobody has complained.
The only thing that I have to do occasionally is update the calendar on the other sites.
I am sorry...but your way of doing business sounds really, really complicated. I just want to be able to do other things and not just worry about my vacation home all the time. However, you may want to make your own templates for your very specialized forms with PDF files. I have those for my contract that is uploaded into VRBO when sending the funds request, AND I have other PDF files for my welcome letter. Again, just a couple of clicks.

Yes you can send the breakdown when you get an inquiry from VRBO you tab the reply button. When you reply through VRBO there at the bottom right hand corner is a question with quote or without quote. You can then fill in the quote and send it to the customer. Is that what you are talking about. However, if you are not using VRBO then this won't be available to you. That is why I have all inquiries come through VRBO.
next time you get a request from VRBO check that out! It works so slick! AND it transfers all the information to the book it tab when you are ready to book. NO, need for double entries.
We use whatever source the inquiry comes thru for Reservation Manager: VRBO or HomeAway. I don't think you are even using HomeAway, correct? Also, other sites do not allow you to link to competitors sites, so not sure what you mean by that. We find handling all inquiries from all resources in one central location (our personal e-mail box) is the most streamlined way. And yes, we do send all our contracts out via .pdf for best compatibility and security.
FYI, "breakdown" refers to the itemized list of charges and fees, as are sent with the initial "Book It" option. I guess I don't understand what it is you don't understand, LOL.
Swlinphx, this question is off topic.
Did you need to purchase your .pdf writer program or did you find a free
download online? We have decided to email our contracts as a .pdf also.
Does anyone know of a free download?I don't really want to purchase an
expensive .pdf writer program since this is the only time I would use it.

I went to the PDF website and you have a free trial period, then after that you get charged monthly. However, you can cancel at any time. I asked them and this is how they suggested I do it. Work on all your PDF files and get them just the way that you want them. 30 days should give you plenty of time to get them set up. Then, cancel the monthly, until you need to make a change, then reinstate for another 30 days, then cancel. I know that this may sound bad............but this is what they personally suggested for small businesses.

Hi Tsvr,
A couple of thoughts about creating pdf files.
First, for years, we used "CutePDF", a freebie downloadable from CutePDF.com. VERY convenient.
Once downloaded, it becomes a "printer", and if you then "print" a Word document - or anything else (a map, etc.) - you'll be prompted for a "printer", and instead of selecting your regular physical printer/device, just click on "CutePDF". You will then get another prompt about naming the new pdf document, and which folder you want to put it in.
However, much to our astonishment, not too long ago, one of our "CutePDF"-created Rental Agreements came back altered: In this case, the prospective renter had simply typed the name where the signature should go (in both of two places). Aside from the fact that a typed name is NOT a signature... it was all too obvious that OTHER alterations could be happening, unbeknownst to us. Not good!
Then we had someone else make an edit on the pdf Rental Agreement.
(Both of these were innocuous, but obviously someone could have made some more serious changes, and we probably would not have noticed. That was of real concern.)
We did some checking, and found that pretty much anyone with the regular paid Adobe/pdf software could very easily edit a Word document that had been made into a pdf using CutePDF writer.
I contacted Adobe, and much to our surprise, they made the same suggestion mentioned above: Why didn't we get the 30-day Trial, create whatever pdf files we wanted, and then cancel before the free trial was up. (I was pretty amazed they would suggest this. Rarely have we encountered such a helpful rep, and it seems this wasn't just that once, I guess.)
In our case, we frequently need to customize each Rental Agreement, so we couldn't use the "create it and then just keep using it for free".
So we bought the software. At least it is a one-time purchase, not an annual license.
However, if you do this, keep in mind that there are OTHER programs out there that can be used to alter even "regular" pdf documents, although I'd expect it would be used for things with more financial value than altering a Rental Agreement, unless one happened across a hacker who also wanted a nice place to relax and hack ;-)
It also turned out that using the regular Adobe software creates a pdf file that is much smaller (in bytes, not physical size ;-) than what is created with CutePDF. This mattered, as the filesize previously was very large, because we have photos in our Rental Agreement. Occasionally someone had an email server that delayed or even blocked emails with attachments that were very large. So that problem ended up solved.
If you've got a single Rental Agreement that can be used and reused, then doing the 30-day trial with the full Adobe software should be great. And Adobe obviously doesn't mind! Maybe they figure enough people will find it useful enough for other things once they try it, that they'll sell more software than if they didn't have this sort of promo.

WOW, I didn't know all of that. I guess that makes me even more glad that I send my contract through VRBO, because they store what was sent in the website which would give "proof" of what was actually agreed to. When the guest pushes the "accept the contract" button, it sends me the "IP address" of the computer it was sent from. Further proof of the contract. Just in the event that there is a "legal" issue that arises, or just a dispute between two people. I love how they have made this system so geared towards US the owners of these wonderful homes. ![]()
Unfortunately this doesn't work for me as most of my invoices are not thru
Reservation Manger. We prefer payment by check and until or if HA provides
Res Man invoices to be paid by check, I can not use it for invoicing, though
I do use it for inquiries and for making reservations and really like it.
Now if they will just add on the invoicing by check, I will be a happy
camper as it will be quite useful for invoicing and record keeping for my 4
properties.

Well, I am not sure what it is that YOU don't understand. AND I don't appreciate your tone.
It would seem that perhaps you should go to the videos of how to use reservation manager and perhaps you would then see how you can send a quote with your reply for bookings.
I have other sites and have had no problems. So, maybe it is just YOU????
No need to get testy Wendy. I will say it again (as I did in a light-hearted way, with a "LOL"). I don't understand what it is you don't understand, it's as simple with that. If you care to elaborate that is fine, but if you are going to get upset that you feel the need to be curt and use bold type, perhaps you should not. You seem very testy, sorry.
Tsvr -- you should never have to use or pay for any special .pdf writer software. For years we just save any document we want in .pdf format directy from the application we created it with, just as if printing it. That is bulit in to the general OS and is usually a general function.
I think you should look closely at how you say things to people on here. I am not the only one that has been offended by your words. So, please refrain from telling me how I should respond to your condescending notes.

The funny thing is, I can copy & paste exactly what you said that was rude and hostile, but I bet you can't say the same for me. I really don't care how you choose to take things if I said nothing hostile or wrong, and even put a "LOL" to indicate I was perplexed. If you think I was hostile, please show. as far as I know, that is not true. On the version I have of MS Word, there
is not a way to save it as a .pdf.

TSVR, I don't know what to tell you. I would never pay for a service to save .pdf files. We have done it free for 10 years without even any extra software other than the OS. If someone is trying to charge you for that I would be very wary! You should search whatever OS you're using to see how to do it. It is a basic computer/printer software function, like copy & paste. When you go to print it should allow you to save to .pdf. Maybe there's something you need to "toggle" on, I don't know without knowing what OS you're using. But it's nothing new so I would caution against paying for something everyone I know does for free.
NOTE: In my very first post I stated I created this separate discussion because no none answered my question as a response in other discussion threads. Since it was lost here I created this very specific question and answer thread, not a general topic thread. I respectfully ask that you use this thread to answer the two questions it is regarding if you can. Already it has gotten way off topic, and I didn't create this for people to pick fights. I am not shaking anyone down for an answer. I am asking if anyone knows, and if not you do not need to comment. However, if you do comment, and I don't know what it is you are talking about or don't understand, I will ask you to clarify. Hi Lin! (tsvr) You might have already tried this, but thought I would throw it out there. There should be a default PDF option in all Microsoft Office applications, but it's not shown as a filetype option you would save the file as. Rather, it is a "printer" option.
When you go to File --> Print, check the list of Printers you have available to print to. By any chance, does one of them say PDF or the like? I'd be surprised if it didn't, but every computer is different. If you do, you should be able to select that as a "printer" and it should output to a .pdf.
Again, apologies if you've tried all this with no success, but I've never worked with an Office suite that didn't have this option built in so thought I would share. Good luck!
That's what had me confused. Perhaps we are misunderstanding fishbone (there's nothing wrong with admitting we may not understand). Maybe they are talking about something else. I don't think they'd be paying just to output to Adobe .pdf.

Yes, as I said I didn't realize that part about attaching the invoice from an inquiry because we don't check or respond to our inquiries from within HomeAway or VRBO, but from our outside e-mail address where we get all inquiries (from other sites too). It's easier to keep them all in on place. When we do get a traveler interested in booking, we just use the "New Reservation" feature. Therefore our itemized invoice only gets sent upon hitting "Book It", but they know the costs by then anyway.
